Terms for Upkept Logbook

Last updated 25 October 2026. Draft, to be reviewed.

Who we are

Upkept Logbook is provided by Upkept (Upkept, London, United Kingdom). You can reach us at support@upkept.uk. In these terms, “we” means Upkept and “you” means the business that opens an account. The Logbook is sold to businesses, not consumers; by opening an account you confirm you are using it for your trade or business.

What the Logbook is

A web app in which your team records compliance checks: food safety, fire, water and first aid, and the corrective actions taken when a reading is out of range. It stores what you record and produces a PDF export of it. Upkept Logbook records the checks you make. It does not replace your food safety management system, fire risk assessment or legionella risk assessment, and it is not legal advice. Ranges shown come from the cited guidance; follow your own documented procedures where they are stricter.

The free trial

Every new site gets 30 days free from the day it is created. No card is needed. When the trial ends without a subscription the site goes read-only: no new entries, but your history and the PDF export keep working.

Price and payment

The price is £29 per site per month, billed monthly in advance by card through Stripe. The price shown in the app says whether VAT applies. We may change the price with 30 days’ notice by email; the change applies from your next billing period after the notice.

Cancelling

You can cancel at any time from Plan and billing. Cancellation takes effect at the end of the paid period; there is no refund for the remainder of a period already paid, except where the law requires one or we agree to it. After cancellation the site goes read-only and your records stay readable and exportable for the retention period you have set in Settings, Your data (12 months by default, up to five years), after which they are deleted. We warn you by email 30 days and 7 days before deletion.

Your records

The records your team enters belong to you. Entries cannot be edited or deleted by anyone, including us; a correction is a new entry that points at the original. We never hold records hostage: export is available in every account state. You are responsible for keeping copies that the law requires you to keep for longer than our retention period.

Your team

Staff join with a name and a four-digit PIN. You are responsible for who you invite, for keeping PINs private, and for removing people who leave. Entries recorded under a person’s name or PIN are treated as made by that person.

Acceptable use

Do not use the Logbook to record anything unlawful, to store personal data beyond what the checks need, to photograph people, to attack or overload the service, or to resell access. We may suspend an account that does.

Availability and support

We aim for the service to be available at all times but do not guarantee it. Checks recorded while the app is offline are kept on the device and synced later. Support is by email at support@upkept.uk.

Liability

The Logbook records what you enter; it does not carry out checks, give legal advice, or guarantee the outcome of an inspection. To the extent the law allows, our total liability to you in any 12-month period is limited to the fees you paid us in that period, and we are not liable for loss of profit, business, data you did not export, or indirect loss. Nothing limits liability for death, personal injury caused by negligence, fraud, or anything else the law does not allow us to limit.

Changes and ending the service

We may update these terms with 30 days’ notice by email. If we ever close the service we will give at least 90 days’ notice and keep export available throughout.

Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
